The position is responsible for day to day administrative tasks of Falck San Diego and the City of San Diego EMS Division and is co-located with City EMS. Job duties include general office management including providing support to the EMS Lost and Found Program. The position will also perform desk duties to include interface (phone and in person) with customers. In addition, several duties such as filing, correspondence via mail and email as well as customer relations will be required.
The EMS Administrative assistant supports other EMS staff members and is responsible for providing superior administrative support and overseeing department office logistics. This position has direct contact with all departments, customers, and the general public. This position takes the lead in maintaining office supplies and will be required to attend meetings, keep minutes, and other duties as assigned.
- This position will be responsible for accounts payable and receivable duties and will assist with procurement.
- To perform the required duties, proficiency in Microsoft Office and Alusta is required.
- A driver’s license will also be required
The Administrative Aide duties include, but are not limited to:
- Provide general administrative support to Falck and the City EMS Division
- Coordinate paramedic recertification
- Accounts Payable/Accounts Receivable
- Coordinate, attend, keep minutes, and maintain task assignments for meetings (staff meeting, committee meetings, leadership meetings, etc.)
- Keeping committee assignments on task
- Receive all EMS telephone calls
- Respond to customer (citizen) complaints or inquiries
- Manage lost & found program
- Customer survey processing
- Coordinate facility repairs, telephone requests, equipment maintenance and computer requests for the EMS division
- Single point of contact for EMS office staff for office essentials
- Conference room schedule
- Responsible for general appearance of EMS HQ
- Other duties as assigned
While performing this role, the employee is regularly required to handle or feel objects, keyboards, or phones, reach with hands and arms, and talk or hear. The employee is primarily required to sit and type. The employee is occasionally required to stand or walk. The employee must occasionally lift and/or move up to 5 pounds. Specific vision abilities required by this job include close vision and the ability to adjust focus.
